Privacy Policy

Knoito ("we", "our", or "the app") is a personal relationship management app for iPhone, with a Mac app to follow. We are committed to protecting your privacy. This policy explains what data Knoito accesses, how it is stored, and your rights regarding that data. Section 9 covers this website and the early-access list.
1. Data You Create
Knoito stores data that you create within the app:
- People and relationships you add
- Promises, notes, and observations you record
- Tags, memories, and organizational context you create
- Meeting prep, debrief notes, and transcripts of debriefs you record
- Details of meetings from the calendars you choose (see section 2)
The app collects no analytics, telemetry, crash reports, or usage data. There are no third-party SDKs, trackers, or advertising frameworks in Knoito. The app keeps its own diagnostic logs on your device; they are not sent to us.
2. Calendar Access
Knoito asks for access to your calendar through Apple's EventKit framework. iOS presents this as full calendar access, but Knoito only reads events. It uses them to:
- Show your upcoming meetings on the Today tab
- Prepare Meeting Prep for the people you're meeting
- Link meeting context to people in your network
Knoito never creates, modifies, or deletes calendar events, and it reads only the calendars you choose. From those calendars it imports meetings from the past 30, 60 or 90 days (you choose) and the next 30 days. For each meeting it saves the title, time and location, and which of the people you track attended, and syncs them through your private iCloud (section 4). Details about other attendees stay on your iPhone and don't sync. Knoito doesn't save event notes.
Saved meetings become your meeting history. A meeting stays in Knoito after it leaves your calendar, until you use Delete all my data (section 8). Your calendar remains the source of truth for your schedule.
If you choose a work calendar, those meeting details enter your personal iCloud. If your employer doesn't allow work information in personal accounts, choose only personal calendars.
On your iPhone, meeting titles, like the people and promises you add, can appear in search (Spotlight). If you add the Knoito widget, it shows upcoming meetings, their attendees and your promises. Both stay on your device.
3. Other Permissions
Knoito asks for these only when you use the feature that needs them, and you can turn each off in iOS Settings at any time:
- Microphone and speech recognition — used only while you record a meeting debrief, on iPhones with Apple Intelligence. Speech is transcribed on your device, and the audio is not saved. The transcript is saved with the meeting and syncs through your private iCloud (section 4); neither the audio nor the transcript is sent to us or to any speech service.
- Photos — when you choose a photo for a person, iOS gives Knoito only the photo you pick, not your photo library. That photo is saved with the person and syncs through your private iCloud (section 4).
- Contacts — Knoito doesn't use your contacts today. If a future version offers to fill in details for the people you track from your contacts, it will ask your permission first, the choice stays yours, and we'll update this policy before that version ships.
- Notifications — used only for the app badge, if you turn it on in Knoito's Settings. Knoito doesn't send reminders after meetings.
Knoito never accesses your camera or your location.
4. Data Storage and Sync
Your Knoito data, including meeting details from the calendars you choose, is stored in two places:
- On your device — using Apple's Core Data framework, stored locally on your iPhone
- In your private iCloud account — using Apple's CloudKit Private Database to sync across your devices
A few items stay only on your iPhone and never sync, such as details about other meeting attendees (section 2).
The CloudKit Private Database is tied to your Apple Account. Apple encrypts your data in transit and on its servers, and manages the encryption keys under iCloud's standard protection. Knoito doesn't add its own encryption on top. We have no ability to access, read, or decrypt your data.
Your iPhone's own backups, in iCloud Backup or on a computer, include Knoito's data on the device, with the same protection as the rest of the backup. Apart from iCloud sync, those backups, and anything you choose to share, your Knoito data doesn't leave your device.
5. On-Device Intelligence
Features that summarize or suggest — such as Meeting Prep, the Weekly Brief and sorting a debrief into promises — run on your device, using Apple's on-device model where Apple Intelligence is available and simple rules otherwise. Knoito doesn't send your data to any AI service, and never uses your data to train a model.
6. What Knoito Does Not Do
To be explicit, the Knoito app does not:
- Send your data to our servers (we don't have user data servers)
- Use third-party analytics (no Google Analytics, Mixpanel, etc.)
- Include advertising frameworks or ad tracking
- Collect device identifiers, IP addresses, or location data in the app
- Access your camera or location
- Share or sell data to any third party
7. Data Sharing
We never share your data with anyone. Your data exists only on your devices, in your personal iCloud account, and in your device backups. If you choose to share something yourself — for example, sending a Weekly Brief by email or as Markdown — it goes where you send it.
8. Data Retention & Deletion
You can delete your data in these ways:
- Delete individual records — remove specific people, promises, or notes from within the app at any time. Knoito hides a deleted record on all your devices. A hidden copy remains in Knoito's storage and in your iCloud until you use Delete all my data or remove Knoito's data from iCloud.
- Delete all my data — in Knoito's Settings. Erases Knoito's data on that iPhone and asks iCloud to delete the synced copy. Run it on every device you use Knoito on, because a device that still has Knoito's data can upload it again. Backups, and anything you have shared, may still hold data.
- Delete the app — removes Knoito's data from that device. Your iCloud copy remains, and downloads again if you reinstall.
- Delete iCloud data — go to Settings > [your name] > iCloud > Manage Storage > Knoito to remove synced data. A device that still has Knoito's data may upload it again.
9. This Website and the Early-Access List
This website uses Vercel Web Analytics to count page views. It doesn't use cookies and doesn't identify you. For each page view it records the page, the site that linked you here, your approximate location (country, region and city), and your browser, operating system and device type. Visitors are counted with a hash of the request that is discarded after 24 hours, and we see only totals.
The site is hosted by Vercel, which also keeps standard server logs, such as IP addresses, to operate and secure the site.
If you join the early-access list, your email address is stored by our mailing provider, Kit (ConvertKit), and used only to tell you about Knoito, including when your beta cohort opens. Kit may record whether our emails are opened and which links are clicked. You can unsubscribe from any email, or ask us to delete your address, at any time.
If you email us, we keep your message and email address to answer you, in our email provider (Google Workspace).
10. Children's Privacy
Knoito is not directed at children under 13. We do not knowingly collect data from children. App data is stored only on your devices and in your private iCloud, and the app sends no data to us.
11. Changes to This Policy
We may update this privacy policy from time to time. Changes will be posted on this page with an updated revision date. Continued use of the app after changes constitutes acceptance of the updated policy.
